Please note that a newer version of the CampusGroups platform has been released since the creation of these modules - of particular relevance to our operations is the update to the  Events module - rooms.rice.edu has now been integrated with the CampusGroups event form.

While CampusGroups will not stop you from submitting an event if you do not access rooms.rice.edu to reserve a JGSB space, Jones School policy stipulates that you must receive a reservation confirmation from administrative staff in the Dean's Suite in order for an event to be considered official. 

Therefore, for on-campus events please make sure that you submit the event plan and following addendum form through CampusGroups, as well as a room reservation request through rooms.rice.edu.

*We have found that the Website module in CampusGroups would be much easier to explain in-person, so we plan on holding a Website training session in early September.

Club Leader Countdown #1

Hello Club Leaders!

I hope that you are all doing well, and while I'm sure that you wouldn't mind staying on break for a little while longer, I think I speak for all of us here in the OSS when I say that we’re definitely looking forward to having you back!

To ease us back into the school year, for the next few weeks I'll be sending out this newsletter, complete with CampusGroups updates, save-the-dates, and procedural reminders that may come in handy for you as a club leader.

Upcoming Events: Clubs Day

Clubs Day (or rather, Clubs Week) is a set of fair-style events that we use to introduce the incoming class to the fantastic clubs and organizations here at the Jones School.

In order to maximize your outreach and recruiting efforts, four separate Clubs Days will be held this year, and each one will be catered toward a specific cohort of students (the MBAP-Evening event will be split over two days). The date, time, and location of each Clubs Day can be found below:

Please note that table coverage at ALL Clubs Days is mandatory, and lack of coverage may negatively affect future requests for financial sponsorship! At least one officer or senior club member should be stationed at your club's table for the entire duration of the event. Please also have your table stocked with any handouts, posters, or similar marketing collateral - after all, this will be your first and best chance to recruit new members from the Class of 2017! As three of the fairs are geared towards Professional students in particular, please also consider inviting MBAP-Evening and MBAP-Weekend club members to the Clubs Day of their respective programs.

If you plan to represent your club at one or all of these events, please indicate by clicking on the the respective RSVP boxes at the end of this newsletter.

CampusGroups Updates: Content Review

I am pleased to announce that all content has now been migrated to CampusGroups from our old club websites on the business.rice.edu domain. The new CampusGroups sites are public facing, and are also the first thing that prospective members will see before signing up for your club, so please examine your clubs' websites and email me with any changes or additions you would like to see (to view, go to the Website tab in the officer administration menu and select "Open Website").

With that said, it is now time to start migrating content from your clubs' OWL-Space sites. Under the "Resources" tab in OWL-Space, click on the "How to Upload-Download Multiple Resources" to batch download your resources. You may then re-upload these resources into CampusGroups in the "Files" menu of the officer admin menu.

Please have all of your resources copied to your CampusGroups groups no later than Friday, August 21st, and don't hesitate to let me know if you have any questions.

CampusGroups Update: Payment Gateway

I wish to give you all a quick update on the status of our PayPal payment gateway integration. I have been holding back on approving club events lately, as we don't yet have payment capability, and I would hate for students already in the CampusGroups system to see our club events and find a roundabout way to sign up for our clubs for free. CampusGroups is busy hammering out the final technical details so that the system will allow credit card payments, and I will let you know as soon as it is complete, but in the meantime please continue to submit events through the Events module (and don't forget to fill out the planning addendum at the end of the form!). I will approve them as soon as our payment system is ready, but in the meantime, I thank you for patience!
